All researchers and research staff asked to complete mandatory training on Epic for research

All researchers and research staff are asked to complete the Epic Research Add-on training course and assessment – now available as an eLearning module via the UCLH Learning Portal – as soon as possible.

Training is mandatory and researchers and staff need to pass an assessment at the end. The JRO will be asking for a copy of the certificate confirming this.

The eLearning module includes:

  • An overview of research functionality in Epic
  • Setting up a trial in Epic
  • Associating patients to a research study
  • Documenting and uploading research consent to Epic
  • Associating encounters to a research study
  • Associating orders to a research study
  • Logging an Adverse Event
  • Documenting a research note
  • Closing a research study
  • Releasing information to a study monitor
  • Running basic research specific reports

Researchers and staff need to have completed their core Epic training before the Research Add-on course.

Staff who have completed the training via classroom learning are still encouraged to complete the eLearning module, which will ultimately module will ultimately replace classroom-based training.

If the eLearning module hasn’t appeared in your Learning Portal account, please contact the Learning Portal team (0203 447 7447), who will add this for you. If you have completed the eLearning, but still don’t have access to the Epic research functionality, please raise a ticket with the UCLH IT Help Desk (0203 447 9367).

1)      QI’ve completed and passed my Research Add-on eLearning training; how do I get access to the Epic research functionality (e.g. adverse event reporting, research notes, etc.)?

A: A daily readiness report will be run every day, and passed onto the UCLH Users & Securities team who will then grant access as appropriate. This will only occur if the eLearning has been completed and the assessment passed. If you encounter any issues with Epic access, please raise a ticket with the IT Help Desk (0203 447 9367).

2)      Q: I work in research, however the eLearning hasn’t appeared in my Learning Portal account. How do I get access to this training?

A: Currently, the eLearning will automatically appear for anyone that is a doctor, has ‘research’ in their job title, or has R&D listed as their Directorate on ESR. If you are outside this (or have been missed), please contact the UCLH Learning Portal team (0203 447 7447), who will add this for you.

3)      Q: I have already completed classroom Epic Research Add-on training; do I need to complete the eLearning version?

A: If you have already completed the course, and have been granted Epic research access, then no, you don’t need to complete the eLearning. The JRO are however encouraging researchers to complete the eLearning as a refresher, and to obtain a copy of their training certificate (as this wasn’t previously available and won’t be retrospectively issued for classroom training).

4)      Q: I have completed the training, but am having difficulties using the Epic research functions. Where do I go to get more help?

A: Managers can request Epic training support for their team or department. This could be to further support the fundamentals of Epic training, how to complete workflows effectively, or training resources for your area.
